Invite members and manage seats
Add teammates to your workspace, choose their role and assign the seats that let them use Postiv.

Everyone who works in your workspace is a member. Owners and admins can invite new members by email, choose their role and, on plans with a fixed number of seats, decide who gets one. This article shows you how.
You manage all of it in Settings, on the tab called Organisation & Team (Team on a phone).
Invite a teammate
- Open Settings and click Organisation & Team.
- Find the section named after your workspace, such as "Acme Members", and click Invite Member. You only see this button if you are an owner or admin.
- Enter their Email Address.
- Choose a Role: Member or Admin (see below).
- Click Send Invitation.
The invitation appears under Pending Invitations with its sent and expiry dates. An invitation is valid for 30 days. To take one back, click the x on it and confirm with Cancel Invitation. Choose Keep Invitation if you changed your mind.
What your teammate does
- They open the email and sign up or sign in with the invited address.
- Postiv shows a Team Invitation card with your workspace name.
- They click Accept Invitation & Join Team, and the workspace opens.
If your plan uses seats, a free seat is assigned to them automatically when they join. To post from their own LinkedIn profile, they then connect it. See Connect LinkedIn.
Choose the right role
| Role | What they can do |
|---|---|
| Owner | Full control of the workspace. This is the person who created it. |
| Admin | Invite members, assign seats, cancel invitations, manage billing and run team tools like briefs and challenges. |
| Member | Use Postiv day to day. Cannot invite people or change seats. |
| Agency Admin | An agency team member inside a client workspace. See Agencies and client workspaces. |
You can invite someone as Member or Admin. Ownership does not change hands through an invitation.
Understand seats
A seat is permission for one person to use the workspace on plans with a fixed seat count. How it works depends on your plan:
- On the Team plan, members and LinkedIn profiles are unlimited. The settings page says Unlimited team members and LinkedIn profiles and No seat assignment needed. Skip the rest of this section.
- On plans with seats, each person who uses the workspace needs a seat. A Seat Usage bar shows how many are taken, for example 2 / 3 seats.
On a plan with seats, every member in the list shows Seat assigned or No seat, and LinkedIn connected or No LinkedIn once they have a seat.
Assign or remove a seat
- Open Settings, then Organisation & Team.
- Find the member in the Members list.
- Click Assign Seat to give them one. The button is greyed out when All seats are assigned.
- To free a seat, click Remove Seat and confirm. If that person had a LinkedIn profile connected, Postiv disconnects it.
A pending invitation holds a seat too, so you cannot invite more people than you have free seats. If you try, Postiv says No available seats. Add a seat before inviting another member.

Tips
- Cancel old invitations you no longer need so they do not hold a seat.
- Make a second person an Admin, so seat changes never depend on one person being online.
- If a new teammate says they cannot connect LinkedIn, check whether they have a seat first.
Common questions
Why does my teammate see "No seat assigned"?
Your plan has a fixed number of seats and they do not have one yet. An owner or admin can click Assign Seat next to their name.
Can I remove a member from the workspace?
Not from the settings page yet. Message carolina@postiv.ai and we will remove them for you.
The invite email never arrived.
Ask your teammate to check spam, then confirm you used the right address. You can cancel the invitation and send a new one.
What counts toward my seats on an agency plan?
Agency team members use seats in the agency workspace. In client workspaces they get automatic access with no seat. See Agencies and client workspaces.
