Approvals

Require someone to sign off before a post goes live. Set approvers per LinkedIn profile, review posts and handle feedback.

Approvals add a review step between "scheduled" and "live". When a LinkedIn profile has approvers, every post scheduled for that profile waits until they approve it. Nothing is published early.

An approver is a gate on one profile, not a permission level. It does not change what anyone can write or edit in Postiv. It only decides whether posts for that profile may go live.

Set up approvers for a profile

  1. Open Settings and choose LinkedIn Accounts.
  2. On the profile's card, click Approvers. For a company page, click Approvers next to the page name. You can do this if you own the profile or are an owner or admin of the workspace.
  3. In Approval Settings, look under Add Approvers. It lists the people in your workspace. Tick the ones you want.
  4. Click Add Selected Approvers. They appear under Current Approvers.

To remove someone, click the X beside their name. With no approvers, the window says "No approvers set" and posts are published without a review.

Pick the people who must sign off on posts for this profile.

The rules

  • Approvers only apply to the profile you set them on.
  • If you schedule a post and you are the only approver, it is approved automatically.
  • If there are several approvers, every one of them must approve before the post can publish.
  • Any single approver can deny a post, which blocks it for good.
  • A post that is not fully approved before its scheduled time expires and is not published.

What happens when you schedule

The post shows Pending Approval on the calendar. Open the post on the Schedule calendar to see each approver and their status: Pending, Approved (or Auto-approved), Changes Requested or Denied, with their comments.

If you edit the text or attachment after someone has reviewed it, their approvals reset and the post goes back for review.

Review a post as an approver

  1. Open Schedule in the sidebar. If posts are waiting for you, a Pending Approvals panel sits at the top. Press V to open the first one, or click View on any item.
  2. Read the preview and any comments from other approvers under Review & Feedback.
  3. Choose one:
    • Approve Post lets it go out at its scheduled time.
    • Request Changes: write what needs to change in the box ("Describe the changes needed...") and click Request Changes. The author is asked to edit.
    • Edit opens the post so you can fix it yourself. Click Save & Approve when you are done.
    • Reject denies the post. Anything you typed in the feedback box is saved as the reason, so write it first if you want the author and other approvers to see why.

If the scheduled time has already passed, the post shows Expired. Choose a new time under Choose a new publish time and click Schedule & Approve.

Respond to feedback as the author

When an approver asks for changes or denies a post, a panel called Posts Needing Your Attention appears on Schedule, with a Changes Requested or Denied badge and the approver's comments.

  1. Click Edit (or press E for the first item).
  2. Fix the post and click Save Changes.
  3. The post goes back to Pending Approval and the approvers review it again.

To pick a different time instead, open the post and click Reschedule.

Approvals for clients (agencies)

On agency and client workspaces, Approval Settings also offers an Approval method:

  • Team approvers: people in your workspace approve, as above.
  • External approver (approval link): a client approves through a link, without needing a Postiv account.

To set up a link, click Approval links at the top of the Schedule calendar. Name the link, tick the profiles your client reviews and click Create reusable link. Send the link to your client. They can read each post, comment and click Approve post. They cannot edit anything.

Tips

  • Tell your approvers when something is waiting. The panel only shows when they open Schedule.
  • Schedule well ahead of the time you want to publish, so a slow review does not make the post expire.
  • Use one approver for speed, several for formal review.

Common questions

Can I approve my own post?

Only if you are the approver and no one else is. A single approver who schedules the post is approved automatically. If other approvers are set, they still need to sign off.

What happens if nobody approves in time?

The post becomes Expired and does not publish. An approver can use Schedule & Approve with a new time, or you can click Reschedule.

Can an approver stop a post forever?

Yes. A denied post does not publish. Read the reason on the post, then unschedule it and start again with a new version if you still want to publish something similar.
